Who is responsible

What we collect

Only what you type into the quote form, plus the minimum needed to answer you:

• From the form: name, company, market or country, work email, WhatsApp number (optional), estimated quantity, the designs you list, your notes, and which page or design you sent it from.
• Automatically on submit: the time of the request, and the IP address and browser information our hosting provider receives with any web request. We use these to block spam and abuse.
• By email or WhatsApp: whatever you choose to send us there. We handle it the same way as form data.

We do not take payments on this site, so we never receive card numbers or bank details through it.

Why we use it

• To answer your inquiry, quote a price, and arrange samples or an order.
• To keep a record of what was quoted and shipped, so the next conversation is not a repeat.
• To keep the form usable — filtering out spam and automated submissions.

We do not add you to a mailing list, and we do not send marketing unless you ask for it.

If you are in the EU, UK or another GDPR jurisdiction

Where a legal basis is required, we rely on steps taken at your request before entering a contract (answering a quote request) and on our legitimate interest in running a trade business — replying to enquiries, keeping commercial records and preventing abuse. Where the law asks for consent, we ask for it separately.

Where it is stored

Submissions are written in order to three places: a database on Cloudflare (D1), our customer-record table in Feishu (Lark) Docs, and a notification card in our internal Feishu chat. Cloudflare processes data on its global network, including the United States, the EU and Singapore. Feishu is operated by ByteDance and processes data in China and Singapore. Both are used under their standard data-processing terms.

Who we share it with

• Service providers that host the site and run our CRM — Cloudflare and Feishu, as above.
• Couriers and freight forwarders, only when an order or sample actually ships to you.
• Authorities, where the law requires it.

We do not sell, rent or trade your details. There are no advertising networks, no analytics scripts and no tracking pixels on this site.

Cookies and third-party requests

This site sets no cookies of its own and stores nothing in your browser. The page does load two web fonts from Google Fonts (fonts.googleapis.com), which means Google receives your IP address and browser information when the page renders — the usual behaviour for hosted fonts. If you block third-party requests, the site still works; it falls back to system fonts.

How long we keep it

Inquiry records are kept for 24 months after our last contact, so that a returning buyer gets quoted the same terms. Order and accounting records are kept as long as tax law requires. Ask us to delete an inquiry earlier and we will, unless we are still legally obliged to hold it.

Your rights

You can ask us for a copy of what we hold, have it corrected, or have it deleted; you can object to our use of it or ask us to restrict it. Email contact@ling-yun.co and we reply within 30 days. If you are in the EU or UK you can also complain to your national data protection authority.

Security

The site is served over HTTPS. Access to the database and CRM is limited to the people who answer inquiries, and protected by access tokens that are rotated when staff change.

Children

This is a business-to-business site. It is not directed at anyone under 16 and we do not knowingly collect their data.

Changes

If this policy changes in a way that affects you, the date at the top of this page changes with it. Material changes are also announced to anyone we are in active contact with.
